Creating a promotion

1. From the main menu, click Promotion Codes (1). The promotion setup form is displayed, with a list of your promotions (if any have been defined).

2. At the bottom of the form is an empty row for creating a new promotion. Enter the Promotion/Company Name (2).

3. Enter an Offer Code (3), or leave it blank to generate a unique code.

4. To specify when the promotion is valid, use one of the following methods: a) Click on the small calendar icon next to the From and To (4) fields. A popup calendar will be displayed. Click on the blue arrows to change the month, and click on the day to select it. b) Type a new date into the FFrom and To (4) fields in the format dd/mm/yy (for example, “22/09/2008”). c) Click in the From and To (4) field. Use the Page Up or Page Down keys to change the month, and the Up Arrow and Down Arrow keys to change the day.

5. In the Can Be Used On... (5) column, select the days and room types for which the promotion is valid.

6. In the Discount or Rate (6) column, enter a fixed rate, percentage off, or value off.

7. Click the Add button. (7)


Name Purpose
Promotion/company name The name for the promotion. Make it detailed so when a booking comes through you can see exactly what type of offer was used. (Six months later, you probably won't remember what the 'Hotel Coupon' was.) For a coupon, you might use a name such as 'Autumn Offer 10% off'. If it's a corporate rate, you might enter the name of the company, or something like "Standard Corporate Rate" if it applies to more than one company.
Offer code During the booking phase, the customer will enter the code to indicate that they are entitled to a special rate. Each coupon or corporate rate must have a unique code. The code should also be difficult to guess so that customers can't get rates they aren't entitled to. If you leave the code blank, a unique code will be automatically generated for you.
Check-in date is between... The customer will only be able to use the offer code on stays where the checkin date is between the two dates given. If you want the offer to be effective immediately, set the "from" date to today's date (the default value). If you're creating a coupon, you probably want to set an expiration date (the "to" date) a few weeks or months from the start of the offer.
Can be used on... The tickboxes allow you to control the nights on which the offer will apply, and the room types it may be used for. If you're creating a corporate rate, you may want to restrict it to weeknights and single rooms. For coupons, you may want to restrict it to weekends, or midweek, whichever is your least busy time. Or you can allow the offer to be used on all nights, for maximum flexibility.
Discount or rate This field controls how the promotion will affect the price. You can specify a fixed rate, a percentage off, or a fixed discount.
