Sending a Newsletter

The AccuWeb CMS makes it easy to send a newsletter to members of your customer database. Most of the content of the email will be automatically populated with current special offers, entertainment & events, a link to buy vouchers and a room search built into the email. This will maximise possible sales from the newsletter, and build brand awareness.

The newsletter can be themed with the hotel colours or to suit a special occasion such as Halloween or Christmas.

If you haven’t already done so, first configure your newsletter. See General Settings for information on how to set the colours and the image that will appear in the newsletter.

The newsletter is sent from the SMTP user address in the General Settings. When the recipient replies to the newsletter email it will be delivered to the Application email address in the Admin settings.

1. In the Online Marketing menu, select Send Newletter (2). The newsletter form will be displayed.

2. Select the Customer Category you want to send the newsletter to. (See Customer Management for information on how to create a customer database and assign customers to categories.)

3. Enter the Subject and the Message. See “WYSIWYG Editor” for information on formatting the message content. If you enter [name] in the Message field, this will be replaced by the subscribers name. (If their name is not in the database it will be replaced with the word ‘Customer’.) This allows you to greet your customer as follows Dear [name],

4. Before sending your newsletter, enter your email in the Send Test Message To field and click Send Test Email. This will send a test email to this address only.

5. You should receive the email within a few minutes. Verify that it looks the way you want, and that the links work.

6. Once you are satisfied with your newsletter, click send (8). This will send a copy of the email to all of the customers in the selected category. The email will also be saved online so it can be viewed online in case the recipient’s email program does not display HTML correctly.

Tip: You should always send a test email to ensure your email looks the way you want and that all links work before your send the email to your subscribers.

Tip: When you send a test newsletter, the email is not saved online. As a result, the View in browser link will be disabled in the test email.

Tip: The online version will always use the same theme and image that was used when sending the newsletter; however the special offers and the entertainment and events will be updated to show current information. This is necessary in case someone clicks on the link in the email to view the online version some time after the email was received.
